Ms Access Help Needed

I am creating a Financial Statement database and I am done with most of the stuff. Except for one thing that is holding me back, that is there are four columns and these four column has Rent info, monthly rent, yearly rent and share of rent. Since, these column would have as many rows as user wants, as well using a form. Now, my question is, since these ppl wont use this form on every day basis nor the information on these columns would be same. How can I add this to other form (should I add it as a subform, but how can I get rid of the previous record data), and how can it hold the info on just on record, while keeping all the fields empty on the other records, unless user chose to input info in it. If I add this as a sub form, it will show the all the info over and over again from previous record. I made a form and added it to as a subform, but now I am realizing my mistake. I don’t want to create several text boxes so the user can input info, and that would be unprofessional. I am not sure if there is any other way, i tried exporting excel sheet but that didn’t work either.

Originally, this was created in excel; however, my boss asked me if this can be done in ms access and I am giving it a try, and so far its been a smooth ride. But, this is the only thing that is making it hard.

I hope, I am making sense and you guys will be able to help me out in it.

Okay, Yeah I know. :( Its friday cut some slack man :p. What I am looking for is subform to be available on main form. And subform should follow record source of main form. But since this subform has 4 columns and depending on user's choice several rows(*I am aware that if I use single form view only one row will appear instead of all the rows user has had input just for that record) I am looking for a way to show all those input rows only on one certain record where user has chose them to be. I have an idea of using parent/child linking, but I have to read about that, before I start working on this.

Are you trying to link the subform to the main form? Its hell simple in Access 2003, but you'll have to design your table first and specify your primary key.

basically what you want to do is only pull out records from the table if specific fields are not empty? or a record for that table has been populated? Did I get it right?

no nos, thats not what I am trying to do. Okay, open northwind database and go into order form and check how they have used subform, when you click on the main form subform's rows changes as well, thats what I am looking for.

oops I got the did the parent/child linkage, now its fine :D sorry nosy, but I was talking about order form, u see how subform is changing with main form record wise, thats what i wanted, n i did it :D (got lil help but did it :D)
